A Brief Overview
The Lead Scheduler monitors and directs the activities of Schedulers and collects and records patients' demographic and financial information as it is related to hospital admissions, patient scheduling or other scheduling activities. Works with patients, visitors, and physicians' offices to resolve issues and answers questions. May serve as training resource for activities related to hospital admissions, patient scheduling or registration. Serves as resource to Schedulers and operates in supervisory role in the absence of Scheduling leadership team. Models appropriate behavior as exemplified in MLH Mission, Vision and Values.
What you will do
- Leads and guides the Schedulers by coordinating their daily activities and monitoring work load ensuring the delivery of a high quality, responsive and efficient service. Answers questions,resolves issues and problems, conducts training, prepares and coordinates work schedules, and mentors for Schedulers. Participates in interviewing applicants and provides input into Associate evaluations and corrective actions.
- Schedules all patient care procedures accurately as to the type of procedure, exam, area or physician referral, lab location, and time of procedure; balances exams with patient/customer time request and provider availability. Reschedules exams at patients’ or departments’ requests.
- Interviews patient or physician's office staff to obtain medical history and patient demographic information and documents information.
- As initial patient liaison, coordinates all patient care procedures via telephone communications and direct patient contact for hospital-based exams and procedures.
- Reviews and maintains patient care information. Enters patient data into computer to create records used for the collection of their accounts.
- Maintains accurate patient care follow-up appointment database and distributes appointment card reminders in a timely manner.
- Completes patients' medical and/or insurance file from initial interview and distributes files as specified in departmental policies and procedures. Accurately and thoroughly documents all patient care activity in the progress notes, relays this information to the appropriate staff, and follows-up with the patient or customer in a timely manner.
- Performs other job functions as assigned or requested.
Education/Formal Training Requirements
- High School Diploma or Equivalent
- Associate's Degree
Work Experience Requirements
- 1-3 years Scheduling
Knowledge, Skills and Abilities
- Ability to organize/prioritize tasks and maintain control of workflow in a multi-faceted environment.
- Strong verbal and written communication skills, including spelling and correct grammatical structure.
- Strong critical thinking skills.
- Ability to develop solutions to complex problems which require ingenuity, creativity, and innovativeness.
- Strong attention to detail skills.
- Ability to accurately perform data entry and navigate in a Windows environment at a proficient level.
- Proficient in PAS systems.
- Ability to perform basic arithmetic calculations.
- Excellent customer service skills in person and via telephone or e-mail.

- Ability to exercise independent judgment in making decisions and resolving complex problems related to general and technical aspects of the position.
- Ability to function with minimal supervision, delegate work to others, serve as resource to other admitting Associates, and take initiative to resolve issues.

Supervision Provided by this Position
- Acts as a lead level scheduler. Provides day-to-day direction and assistance to subordinates in scheduling. Monitors the work of and acts as resource to others. Performs general supervisory tasks in absence of PAS leadership.
Physical Demands
- Potential exposure to patient blood and body fluids.
- Ability to react quickly and effectively in emergency situations.
- The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
- Must have good balance and coordination.
- The physical requirements of this position are: light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
- The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
- The conditions to which the Associate will be subject in this position: The Associate is not substantially exposed to adverse environmental conditions; job functions are typically performed under conditions such as those found in general office or administrative work.
