A Brief Overview
Responsible for ensuring the integrity of the person record contained in the Enterprise Master Patient Index and Patient Portal. The specialist monitors the status of duplicate and overlaid medical record(s); researches and validates all potential cases of identity theft and/or fraud; researches and validates all potential person matches and coordinates data corrections across all systems and facilities; coordinates the access and release of patient information for authorized requests; ensures the proper authorization covering the release of Personal Health Information (PHI) in accordance with HIPAA guidelines and MLH policies. Models appropriate behavior as exemplified in MLH Mission, Vision and Values.
What you will do
- Facilitates resolution of the electronic medical record merge process by working closely with Information Systems to monitor the person centric EMPI. Identifies potential data problems and communicates issues to appropriate organizational staff.
- Determines the validity of potential duplicate matches by researching patient/person information.
- Responsible for providing direct support to internal and external end users for efficient and accurate utilization of the patient portal application and the electronic medical record.
- Researches and monitors identified overlays to ensure complete resolution of all databases and electronic medical records.
- Investigates potential cases of Medical Identity Theft and/or Fraud to ensure complete resolution of all databases and electronic medical records.
- Maintains care, control and confidentiality of hospital medical records. Understands, applies and supports departmental/hospital policies, procedures and standards.
- Performs other job duties as assigned or requested.

- Master's Degree Health Information Management
Work Experience Requirements
- 1-3 years Health Information Management
Licenses and Certifications Requirements
- Certified Health Access Associate (CHAA) National Association of Healthcare Access Management (NAHAM)
- Certified Health Access Manger (CHAM) National Association of Healthcare Access Management (NAHAM)
- Certified Health Data Analyst (CHDA) American Health Information Management Association
- Registered Health Information Technician - American Health Information Management Association
- Registered Health Information Administrator - American Health Information Management Association
Knowledge, Skills and Abilities
- Knowledge of medical terminology, database structure, and organization required.
- Ability to apply critical thinking skills to complex data issues.
- Proficiency in organizing tasks, set priorities and maintaining control of work flow.
- Ability to communicate with patient and families; physicians’ offices, and other MLH system associates.
- Excellent verbal and written communication skills.
- Ability to read and comprehend moderately complex written materials such as technical manuals.
Supervision Provided by this Position
- There are no supervisory or lead responsibilities assigned to this job, except to aid in training of other Associates or RHIA students. This position will be responsible for coordinating the merge process at all facilities.
Physical Demands
- Subject to mandatory on-call duties and call back at all times.
- The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
- Must have good balance and coordination.
- The physical requirements of this position are: light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
- The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
- The conditions to which the Associate will be subject in this position: The Associate is not substantially exposed to adverse environmental conditions; job functions are typically performed under conditions such as those found in general office or administrative work.
