A Brief Overview
The Contingent Workforce Specialist serves as the primary liaison for contingent workforce staff (external agency, contract staff, volunteers, students and other non W2) and Methodist Le Bonheur Healthcare leaders. The incumbent is responsible for recruiting, interviewing, and referring qualified contingent workforce staff (non-W-2) for MLH organization, as well as requesting, onboarding, coordinating, monitoring, maintaining, and auditing all contingent workforce records. The incumbent is also responsible for the initiating, coordinating, monitoring, and maintaining the Credentialing and the Reappointment processes of employees of non-W-2 Physicians with privileges to practice within the MLH system. Facilitates and performs all aspects of credentialing, and onboarding processes and other monitoring in the Human Capital Management System. Is the point of contact for all inquiries (via phone, email, and chat) related to the contingent workforce for this group and the daily processing of the records. Accountable for ensuring that processes and transactions are processed in an efficient, accurate and timely manner. Ensures compliance with the accrediting and regulatory agencies. What you will do
- Acts as first point of contact for frequently asked questions from Contingent Workers of Non-Employee Physicians relative to standard policies.
- Responsible for preparing contingent worker files for audit and review by regulatory bodies.
- Provides administrative support to the leaders. Serves as key contact & liaison with new contingent worker hires to provide guidance on pre-boarding activities.
- Initiates all tasks and transactions related to contingent worker employment function.
- Builds and develops a relationship with Physician Offices, vendors, and contingent worker new hire to make them feel part of the organization.
- Performs administrative, scheduling and support functions for the contingent worker on-boarding process.
- Inputs data in HR systems as appropriate ensuring accuracy and data integrity.
- Keeps abreast of changes to policies, procedures, and knowledge base responses.
- Facilitates and performs all aspects of credentialing for specific employees with the appropriate job description of non-W-2 Physicians with admitting privileges to MLH.
- Understands the onboarding policies and procedures of MLH in accordance with guidelines of all Regulatory bodies including the JCAHO, DNV (NIAHO), and CMS and the appropriate states. Responsible for preparing files for review.
- Maintains day-to-day relationships with external workforce suppliers to manage current on-boarded contingent workers and hold vendors accountable to established agreements and deliverables.
- Builds relationships with key customer groups by fulfilling external workforce needs and satisfying requests in accordance with established service levels.
- Responsible for executing all HR functions for external workforce including wages, data changes, separations, contract extensions, and external hires.
- Initiates proactive recruitment strategies for the organization based on projected talent needs and people strategies.
- Screens potential contingent worker candidates to ensure the best qualified candidates are presented to the hiring manager.
- Serves as subject matter expert for external workforce engagement, administration, compliance, recruitment/selection, and utilization strategies.
- Performs other duties as assigned.
Education Qualifications
- High School Diploma or Equivalent REQUIRED
- Associate's Degree Human Resources OR
- Associate's Degree Business PREFERRED
Experience Qualifications
- 1-3 years Minimum of two years of Human Resources experience in a healthcare setting.
Skills and Abilities
- Exceptional communication skills
- Proficient skills in Microsoft Office applications, specifically Word, Excel, mainframe system, databases and spreadsheets and Outlook
- Broad knowledge of principles and practices of HR administration as it relates to selection and onboarding.
- Knowledgeable of regulatory requirements and accreditation standards, including TJC, DNV, and CMS standards asks.
- Strong customer service skills and ability to communicate (written and verbal) with all levels of the organization, both internal and external.
- Ability to be flexible, adaptable and dependable in a constantly changing, fast-paced environment.
- Ability to multi-task using several Windows applications at once while assisting vendors and contingent workers, and leaders on the phone or using chat.
- Takes ownership for creating an exceptional Contingent worker experience.
- Anticipates problems (and escalates when appropriate), demonstrates strong prioritization and organization skills, analytical, detailed, and acts to complete tasks accurately and on time.
- Self-motivated, proactive and capable of working on own initiative with limited supervision.
- Proven ability to perform with a high degree of accuracy and with highly confidential data.
- Experience with enterprise HR Systems (Oracle, PeopleSoft, SAP, Workday, Catus, Kronos etc.) or strong desire to learn.
- Demonstrates deductive reasoning and ability to use reference materials.
- Ability to handle assignments independently with demonstrated analytical and interpersonal skills.
- Demonstrates ability to maintain excellent customer service skills and customer relations under stressful conditions.
- Experience with following processes and continually improving processes and workflow to gain efficiencies of performance.
- Ability to function with minimal supervision and to relate and communicate effectively with high level Associates within the hospital, in the community, schools and with medical staff and their office staffs.
- Ability to set priorities coordinates multiple tasks, organize tasks, and maintain control of workflow.
