A Brief Overview
Works in conjunction with facility leaders and frontline associates to accurately and timely meet schedule and timekeeping requirements. Assists leader in allocation of resources according to department guidelines and regulations. Provides office support duties for the Resource Management Center. Models appropriate behavior as exemplified in MLH Mission, Vision and Values.

What you will do
  • Collaborates with facility leadership and frontline associates to ensure associate schedules are published and updated according to department requirements.
  • Deploys resources to units based on department criteria and guidelines to ensure adequate coverage for shifts.
  • Promotes effective communication concerning all scheduling, staffing and payroll applications.
  • Ensures scheduling and payroll related activities are performed consistently and in a timely manner.
  • Maintains accuracy of scheduling and timekeeping for associates including but not limited to call in’s, shift swaps and planned time off.
  • Demonstrates successful partnerships with facility leaders and frontline associates to balance unplanned schedule changes.
  • Creates, maintains, and produces reports related to unit based staffing and scheduling metrics.
  • Collaborates with the leader for enhanced pay practices, including shift incentives.
  • Ensures fit of competencies and experience when scheduling.
  • Performs schedule audits to ensure staff meet authorized hours and schedule requirements.
  • Promptly updates the scehduilng system to ensure the accuracy of data including new associate, transfers and terminations.
  • Performs other duties as assigned.

Education/Formal Training Requirements
  • High School Diploma or Equivalent
  • Associate's Degree

Work Experience Requirements
  • 1-3 years work experience in hospital staffing or scheduling, or a closely related function.

Knowledge, Skills and Abilities
  • Knowledge of the business structure of clinical areas, nursing staffing structure, and staffing office operations.
  • Knowledge of hospital staffing/scheduling policies and procedures.
  • Must be proficient in the Microsoft Office program or programs (Word, Excel, Powerpoint) as indicated in the specific function within the department.
  • Excellent verbal and written communication skills.
  • Ability to prioritize and execute multiple tasks within deadlines with minimal supervision.
  • Ability to determine appropriate course of action in more complex situations and when to escalate issues to the leader.
  • Must be able to to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.
  • Ability to organize multiple tasks and projects and maintain control of own and others' work flow.
  • Ability to perform basic arithmetic calculations.

Supervision Provided by this Position
  • There are no lead or supervisory responsibilities assigned to this position.

Physical Demands
  • The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
  • Must have good balance and coordination.
  • The physical requirements of this position are: light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
  • The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
  • The conditions to which the Associate will be subject in this position: The Associate is not substantially exposed to adverse environmental conditions; job functions are typically performed under conditions such as those found in general office or administrative work.
