A Brief Overview
The Accounts Payable Specialist is responsible for auditing, verifying, and processing invoices, researching inquiries, reconciling vendor statements, handling vendor correspondence and problem resolution. Models appropriate behavior as exemplified in MLH Mission, Vision and Values.
What you will do
- Audits and verifies the accuracy of invoices from vendors for MLH purchases. Reviews incoming documents and prioritizes daily invoices to insure that discounts are taken, oldest invoices are processed first, and urgent invoices are posted as a priority.
- Ensures that non-purchase order invoices have the proper approvals, cost centers, general ledger codes, and back up documentation as needed to support the request.
- Compares information on invoices with data on hospital generated purchase orders and vendor information in the system to verify the accuracy of charges as well as ensure payment to the correct vendor.
- Processes accounts payable data for check preparation. Organizes posted documents in order according to established policy and procedures for filing.
- Exhibits an understanding of the month-end process. Prioritizes invoices $1,000 or more and posts within the first working days after month end.
- Researches and resolves items on vendor statements that are greater than 30 days old. Performs reconciliations in an organized, well-documented manner, according to the assignment of the workload for minor vendor accounts.
- Demonstrates effective customer service relations skills, promotes a positive work environment and contributes to the overall team effort.
- Understands, applies, and supports departmental and hospital policies, procedures and standards.
- Performs other job functions as assigned or requested.
Education/Formal Training Requirements
- High School Diploma or Equivalent
Work Experience Requirements
- 1-3 years Accounting
- 1-3 years College level courses
Knowledge, Skills and Abilities
- Knowledge of computerized Accounts Payable function.
- Possesses analytical skills necessary for making sound decisions and interpreting system data to determine problem resolution.
- Mathematical aptitude to perform arithmetic calculations and detail oriented in making computations or adjustments requiring accuracy.
- Ability to understand and apply basic accounting and business principles.
- Ability to operate ten-key calculator and typing skills. Ability to operate standard office machines such as a copier, Fax, PC, and printer.
- Possesses exceptional interpersonal skills and the ability to communicate with associates, management, vendors and other customers in a tactful, pleasant, and helpful manner.
- Possesses a high degree of integrity and adheres to the established confidentiality practices of the department.
Supervision Provided by this Position
- There are no supervisory or lead responsibilities assigned to this position.
Physical Demands
- The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
- Must have good balance and coordination.
- The physical requirements of this position are: light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
- The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
- The conditions to which the Associate will be subject in this position: The Associate is not substantially exposed to adverse environmental conditions; job functions are typically performed under conditions such as those found in general office or administrative work.
